Time Sheet Manager Questions ACCESSING TIME SHEETS: How do I get access to the employees time sheets? CLEAR TIME SHEET: Ater importing an employees time sheet and selecting "Clear", the times sheet does not clear. DUPLICATE GROUPINGS: How come I get 2 different groupings for the same Job Number when I group the Master Time Sheet Merge File? READ/MERGE ERROR: When I tried to merge a time sheet I got: "The merge operation failed because a file error occurred." ACCESSING TIME SHEETS - How do I get access to the employees time sheets? In order to see and import your employee's time sheets you must be able to see each file. If you are not connected via network then your employees must email you the file as an attachment or give it to you on a disk. The best way is import it directly from the user's machine. To do this create a Mac Alias or Windows Shortcut of the time sheet file. This must be made from the Time Sheet Manager machine and the alias or short cut(s) must be saved in the Time Sheet Manager Folder. Name each alias or shortcut with the name of the user. The time sheet file for Mac OS 9 version of StopWatch is located in the Preferences folder which is inside the System folder. The name of the file is called "stopwatch file". Don't confuse this with the file in the same folder called "stopwatch preferences" The time sheet file for Mac OS X version of StopWatch Plus MUST be located in the user's Public folder. The time sheet file is named by the user. The time sheet file for Windows 95/98/NT version of StopWatch is located in the StopWatch folder directory . The name of the file is called "watch.txt". The time sheet file for Windows XP/2k version of StopWatch Plus MUST be located in a shared folder on the local or server drive with full read and write access permission. In all versions of StopWatch the user MUST give your computer FULL read/write access to the time sheet file. TOP CLEAR TIME SHEET: Ater importing an employees time sheet and selecting "Clear", the times sheet does not clear. This would happen if the StopWatch Time Sheet computer is giving the Time Sheet Manager computer "READ" permission only. The StopWatch computer must give the Time Sheet Manager computer full READ & WRITE permission for the folder where the time sheet is located. If not it will block Time Sheet Manager from clearing the time sheet file. TOP DUPLICATE GROUPINGS: How come I get 2 different groupings for the same Job Number when I group the Master Time Sheet Merge File? If you group by Job (or any any other time sheet column) and you get 2 or more separate groupings for the same job number then TSM is seeing 2 different job numbers or codes. For example ABC100 and ABC1OO look similar but they are different. The first example you see the three letters ABC followed by a 3 digit number 100. However in the second example the same three letters ABC are followed by the number 1 and two capital letter OH's. Another way it can happen is if the StopWatch User typed a space after the number which TSM still sees as different. To correct the situation: Version 2.x for OS-X Native - Sort the list by job number and then click on the bad entry and retype it correctly. Tell the employee that they must correct any current or new entries as well so the problem does not happen again. Version 1.x for Mac OS9 or Windows - Filter out the bad data from the good and choose Save As from the File Menu and give the Master Merge file a new name. You will have to have the user retype the bad entries with corrections and then remerge the corrected entries. To filter out a job (or any other column; date,who,code, etc.) type (or copy and paste the example below) the following exactly (using your bad job number instead) in the TSM filter Window: NOT job = "ABC1OO" The full list of column filter operators are: date, duration, who, job, code, description. TOP READ/MERGE ERROR: When I tried to merge a time sheet I got: "The merge operation failed because a file error occurred." Mac OS-X. If just started using the application for the first time make sure you are not running it from inside the DMG disk image. This disk image is the drive icon that appears on your desktop after you double click on the master (TSM-OSX-20x.dmg) file. As per the installation instructions, the application must be copied from inside that disk image to the Applications Folder on your hard drive. Here are the instructions: * Double click the "TSM-OSX-20x.DMG" file * A "TSM-OSX-20x" Disk Drive Icon will appear on your desktop * Double click on the new TSM Disk Image Icon and it will open * Drag the application outside of the Disk Image Folder and move it to the Applications Folder on your hard drive * Open the Applications Folder and find the Time Sheet Manager application * Start Time Sheet Manager by double clicking on it * Please drag the installation drive folder to the trash and empty it If you have been using the software for a while and this error occurs, then it is almost always due to a permissions issue which has the time sheet file locked. First check to see if the user is running the StopWatch application. If so the user must NOT be running the StopWatch application when you access the time sheet. If not check the sharing permissions to be sure the StopWatch User's computer has given your computer full read and write access to the time sheet file. This may be an issue at the folder level and the file level. Also the Mac OS-X version of StopWatch Plus has a write protect preference that must be turned off. Once done, quit Time Sheet Manager and try to merge the file again. If your network will not allow you to edit files remotely then have the StopWatch User email you the time sheet as an attachment. Save the file to your desktop and merge from there. Make sure the user deletes the time from the time sheet as Time Sheet Manager will obviously not be able to clear it on the user's machine. TOP |
